There’s Much More To A Timed Delivery Than The Drive
In our example, the venue is approximately 43 miles away, with a driving time of around 59 minutes.
On paper, that might sound like a straightforward one-hour journey.
In reality, timed wedding installations are rarely that simple.
Unlike a standard courier delivery, we can’t simply aim to arrive “sometime this afternoon.” We are often given a very specific installation window, and it’s our responsibility to be there, ready to start work, at exactly the right time.
That means we plan our entire day around your booking.
Experience Allows Us To Plan Properly
After installing dance floors at hundreds of weddings across the Midlands and beyond, we’ve developed a very accurate understanding of how long each stage of an installation takes.
We know approximately how long it takes to unload the van.
We know how long it takes to lay each panel, fit edging, check levels, clean the finished floor and complete the installation to the standard we expect.
This experience allows us to build realistic schedules rather than simply hoping everything goes to plan.
We Don’t Plan For The Perfect Day
One of the biggest differences between an experienced event company and someone who simply looks at the distance on Google Maps is that we don’t plan for everything to go perfectly.
Instead, we plan for what usually happens.
For example:
- Traffic can be heavier than expected.
- Roadworks or diversions can add time to the journey.
- Parking or unloading may take longer than anticipated.
- Some venues require long walks from the vehicle to the function room.
- Lift access may be unavailable or shared with other suppliers.
Rather than risking a late arrival, we allow sensible time for these possibilities.
Wedding Timings Don’t Always Run To Schedule
One of the most common delays we encounter isn’t actually on the road—it’s inside the venue.
Many dance floors are installed while guests are enjoying the wedding breakfast.
Although every wedding has a planned timetable, receptions often overrun by ten, twenty or even thirty minutes.
That’s completely understandable. Speeches take a little longer, courses are served slightly later than planned, or everyone is simply enjoying the moment.
From our perspective, however, we still need to be there and ready.
Our team may be waiting patiently for the room to become available, even though the installation window has technically begun.
Clearing The Room Takes Time Too
Even once guests have left the room, installation doesn’t always start immediately.
Venue staff still need to:
- Clear tables and chairs.
- Remove decorations where necessary.
- Reset the room for the evening reception.
- Vacuum or clean the area.
Only once the space is ready can we begin laying the floor.
We factor this into our planning because it’s a normal part of working at weddings.
We’re Rarely The Only Supplier On Site
A wedding is a carefully coordinated event involving many different suppliers.
Photographers, videographers, florists, entertainers, venue decorators, DJs, bands, cake suppliers and venue staff may all be working in the same space at the same time.
Sometimes everyone needs access through the same doorway.
Sometimes equipment has to be moved in a particular order.
Occasionally we may need to pause for a few minutes while another supplier completes part of their setup before we can continue.
None of this is unusual—it’s simply how professional wedding setups work.
Our schedules are designed with this in mind so that everyone can work together without unnecessary stress.
Planning For Delays Means We Don’t Create Them
Could we reduce our delivery costs by allowing less time?
Probably.
But it would also increase the chances of arriving late, rushing an installation or delaying your evening reception if something unexpected happened.
Instead, we choose to plan realistically.
By allowing sensible time for travel, venue access, waiting periods and the unexpected, we can work calmly, professionally and efficiently, while causing as little disruption as possible to your venue and your guests.
Most of the time, those extra allowances aren’t even noticed by our clients—and that’s exactly how it should be.
A smooth installation isn’t usually the result of everything going perfectly.
It’s the result of careful planning, years of experience and allowing for the things that most people never even realise happen behind the scenes.
