Some Fridays involve one large installation. Others involve several smaller dance floors travelling in completely different directions.

On this particular Friday, we had three dance floors to install:

• A 16ft × 16ft black and white dance floor inside a stretch tent on a private farm near Abberley
• A 12ft × 12ft black and white dance floor inside a garden party tent near Birmingham
• A 12ft × 12ft white starlit dance floor at The Manor House Hotel in Moreton-in-Marsh

Although the installations were all completed on the same day, the locations, access arrangements and ground conditions could hardly have been more different.

Installation one: a black and white dance floor on a private farm

Our first installation was approximately 40 minutes from our Worcestershire unit, on a private farm near Abberley.

The client had chosen a 16ft × 16ft black and white dance floor for a wedding inside a stretch tent. The tent overlooked open fields where deer could be seen in the distance, creating a particularly impressive setting for the celebrations.

With beautiful weather and stunning countryside views, it was a perfect weekend for a wedding.

From an installation point of view, the access couldn’t have been much better. We were able to drive the van directly up to the stretch tent and unload the dance floor within a few feet of where it needed to be installed.

Outdoor installations can sometimes take longer because of uneven ground. Even when a lawn appears flat, small changes in level can become much more noticeable when solid dance floor panels are laid across it.

On this occasion, the ground beneath the stretch tent was surprisingly level. The panels connected smoothly, the floor sat well and the entire 16ft × 16ft installation took approximately 25 minutes.

It was a great example of how suitable ground and excellent vehicle access can make even a larger dance floor installation remarkably straightforward.

Installation two: a garden party near Birmingham

Once the farm installation was complete, it was time to travel to Birmingham for our second black and white dance floor of the day.

This was a smaller 12ft × 12ft floor being installed inside a party tent in a private back garden.

The installation itself was perfectly manageable, but access was much more challenging than it had been at the farm. Several cars were parked on the driveway, which meant we couldn’t get the van particularly close to the garden.

Every panel had to be carried around the back of the property and taken down a set of steps before it reached the party tent.

The garden also sloped downwards considerably and was not especially flat. This is always something we assess carefully because a dance floor needs to sit safely and securely, without panels rocking or separating during use.

Despite the access and ground conditions, we installed the complete floor without any problems. The 12ft × 12ft black and white dance floor took approximately one hour to unload, carry into the garden and install.

Comparing this with the first job shows why the dimensions of a dance floor only tell part of the story.

The larger 16ft × 16ft floor took around 25 minutes because the van could be positioned beside the stretch tent and the ground was level. The smaller 12ft × 12ft floor took around an hour because of the restricted access, steps and sloping garden.

Installation three: a starlit dance floor in Moreton-in-Marsh

Our final installation of the day was at The Manor House Hotel in Moreton-in-Marsh.

We regularly supply dance floors to the hotel, so we already understand the room, the access and how installations need to work around the wedding schedule.

The couple had chosen a 12ft × 12ft white starlit dance floor for the Sezincote Suite.

We can normally begin setting up once the ceremony time has passed. On this occasion, the couple had held their ceremony outside, so the function room had not been used earlier in the day.

That made the installation much easier. There were no ceremony chairs waiting to be cleared and no room turnaround to delay us, meaning we could begin work as soon as we arrived.

The only complication was parking.

Parking near the hotel can be difficult because it relies largely on nearby on-street spaces. During the daytime on a Friday, those spaces can be particularly busy. We eventually had to park approximately 150 metres away from the entrance to the function room.

Fortunately, the sack truck made it relatively easy to move the starlit panels from the van into the hotel. Even with the longer walk, the complete floor was unloaded and installed in just over 30 minutes.

Returning after midnight

The collection from The Manor House Hotel was scheduled for shortly after midnight.

This wedding didn’t have a DJ or live band. Instead, the music was being played through a speaker controlled by members of the wedding party.

This can occasionally create a small logistical problem at the end of the night.

When there is a professional DJ or band, there is normally one clear person managing the music. They know when the agreed finish time has arrived and can make the final announcement before turning everything off.

When guests are managing a playlist themselves, there may not be one person responsible for ending the music. Different guests may keep adding songs, and nobody particularly wants to be the person who announces that the party is over.

We cannot safely begin removing a dance floor while guests are still dancing on it, so we sometimes need help from the venue staff to bring the evening to a close.

Fortunately, the hotel team were excellent. They spoke to the relevant members of the wedding party, and the music was turned off shortly after midnight.

By collection time, we were able to park the van directly outside the function-room entrance. Without the 150-metre journey we had faced earlier in the day, removing the floor was extremely quick.

The 12ft × 12ft starlit floor was dismantled and loaded into the van in approximately 15 minutes.

Monday morning collections

The two outdoor black and white dance floors remained in place for the rest of the weekend and were scheduled for collection on Monday morning.

We returned to the farm near Abberley first.

Once again, access was excellent. We drove straight up to the stretch tent and loaded the panels directly into the van.

The floor was quite dirty after a full wedding weekend, but there was nothing particularly unusual about its condition. Outdoor installations naturally collect more dust, marks and debris than floors installed inside hotels and permanent venues.

The 16ft × 16ft floor was dismantled and loaded in approximately 20 minutes.

From Abberley, we travelled back to Birmingham to collect the final 12ft × 12ft black and white dance floor.

That collection turned out to be far less straightforward—and interesting enough to deserve a complete case study of its own.

When we arrived, the party tent had been dismantled and the acrylic dance floor had been left completely uncovered in strong, direct sunlight. The heat had caused the black acrylic to expand and lift from numerous panels, leaving us with a substantial repair job.

Why access matters as much as floor size

These three installations demonstrate why we ask detailed questions about access, parking, ground conditions and room schedules.

On paper, the largest floor should have been the longest job. In reality, it was the quickest installation of the day:

The physical size of a dance floor is only one factor in planning an installation.

A clear room, nearby parking and level ground can make a larger floor relatively quick to install. Restricted access, steps, slopes, parked vehicles and room turnarounds can make a smaller installation considerably more involved.

These are all details we consider when planning delivery times and staffing—not simply how many panels are needed.

Three very different installations

Over the course of the day, we installed dance floors in a stretch tent overlooking fields, a private back garden in Birmingham and an established wedding hotel in Moreton-in-Marsh.

Each installation had its own challenges, but all three floors were ready in time for the celebrations.

The weekend also provided both sides of outdoor dance floor hire: one floor remained properly protected and was collected with nothing beyond the usual cleaning required, while the other was unexpectedly left exposed and suffered significant heat damage.

It was a busy Friday, followed by a late-night collection and two very different Monday-morning outcomes—and a useful reminder that no two dance floor installations are ever quite the same.
